What is Data Analysis?
Data Analysis is the process of examining, transforming and interpreting data to generate meaningful insights and transform raw data into actionable information for better decision-making.

Types of Data:
Organizations work with different types of data. It can be classified into three main types:
· Structured Data – Data organized in rows and columns. Ex- Data stored in Excel sheets/Databases
· Semi-structured Data – Data that doesn’t follow a strict tabular format but contains some structure. Ex- JSON, XML
· Unstructured Data – Data without a predefined format. Ex- chats, audio, video files
Structured data can be directly used for analysis, while Semi-structured and Unstructured data need processing before extracting meaningful insights. Once the type of data is identified, the next step is to process and analyze the data.
Steps in Data Analysis:
· Requirement gathering – Understanding business objectives and stakeholder requirements.
· Data collection – Extracting the most up-to-date and relevant data from several sources including Excel sheets, text files, CSV files, databases or cloud systems.
· Data cleaning – Cleaning data to ensure data quality by handling missing values(nulls), correcting errors, purging duplicate records and removing unnecessary information.
· Data transformation – Converting data into required format by filtering, aggregating and creating calculated fields for analysis.
· Data Analysis – Analyzing data to identify patterns, trends, correlations and outliers.
· Data Visualization – Presenting insights using charts, dashboards and reports for better understanding.
· Data Reporting and Storytelling – Communicating insights using data and visuals and highlighting key insights to support decision-making.
Data analysis is not limited to one approach. It can be categorized in four types, each answering different business needs.
Approaches to Data Analysis:
· Descriptive Analysis - What has happened?
It examines past data to summarize historical performance.
· Diagnostic Analysis - Why did it happen?
It analyzes data to identify the root causes of a specific outcome.
· Predictive Analysis - What is likely to happen?
It analyzes future outcomes on the basis of the historical data, trends and statistical models.
· Prescriptive Analysis - What should be done?
It recommends actions to achieve desired outcomes.
Based on the above categories of analysis, we need to understand which type of analysis is performed by data analysts. A data analyst acts as a bridge between raw data and business users. They transform raw data into actionable insights. Their responsibilities include gathering data, cleaning it, analyzing it and presenting insights to stakeholders to support smarter data-driven decisions. They are mainly involved in descriptive, diagnostic analysis and sometimes in basic predictive analysis.
Role of a Data Analyst:
· Descriptive Analysis - Data Analysts create reports, summarize past performance and track KPIs
· Diagnostic analysis- Data Analysts compare trends and investigate the reason behind the outcomes.
· Basic Predictive Analysis – Data Analysts may perform basic forecasting however advanced predictive and prescriptive analysis is performed by Data Scientists.
To perform the analysis effectively, a data analyst should have both technical and soft skills.
Essential Technical skills:
· Excel – Excel is used for storing, organizing, manipulating data, creating pivot charts and basic visualizations. Analysts can perform calculations using functions and formulas, create pivot tables and build charts and basic visualizations for reporting.
· BI tools – Used for data visualization and creating interactive dashboards.

· SQL – Structured Query Language used to retrieve, update and manage data stored in relational databases. Data analysts use SQL to join multiple tables, aggregate data and execute complex queries.
· Python – Is used for advanced data analysis and data modeling.
